Excel checkbox

Build a clickable todo column: Insert → Checkbox stores TRUE/FALSE, COUNTIF tallies what’s done, and you can still use a static ✓ when you only need a symbol. Covers insert, checkmark, and delete for Excel and Sheets.

Menu paths — insert a checkbox

Add clickable checkboxes that store TRUE/FALSE, then count completed tasks with COUNTIF:

Google Sheets Menu path
1 Select cells
2 Insert
3 Checkbox

Checkboxes return TRUE when checked and FALSE when empty. Delete: select the cell → Edit → Delete → Values, or clear the cell.

Microsoft Excel Ribbon path
1 Select cells
2 Insert
3 Checkbox

Microsoft 365 Excel: Insert → Checkbox puts interactive TRUE/FALSE checkboxes in the selection. Older workbooks may use Developer → Insert → Form Controls → Checkbox (linked cell).

  • A checkmark glyph (✓) is just text — use Insert → Symbol or type ✓. It does not toggle TRUE/FALSE.
  • To delete a checkbox control, select it and press Delete (or clear the cell for in-cell checkboxes).

Interactive checkbox + COUNTIF simulator

A todo list starts as plain text. Insert checkboxes on the Done column, click to toggle TRUE/FALSE, and watch COUNTIF update the completed count.

Checkbox vs checkmark vs delete

Insert (interactive)

Insert → Checkbox (Excel 365 / Sheets) creates a control that stores TRUE or FALSE. Ideal for task lists and attendance — formulas can count them.

Checkmark (✓ character)

A static ✓ (or Wingdings) is just a symbol. It looks checked but formulas cannot treat it as TRUE unless you build custom rules. Prefer real checkboxes for COUNTIF.

Delete / remove

Select the checkbox (or the cell) and press Delete. Form-control checkboxes on older Excel sit on top of the grid — click the border, then Delete.

Insert checkboxes step by step

  • Excel 365: select cells → Insert → Checkbox
  • Google Sheets: select cells → Insert → Checkbox
  • Legacy Excel: Developer → Insert → Form Controls → Checkbox (link to a cell)

Checkmark (✓) without a control

Need only the look of a tick? Type ✓, paste it, or Insert → Symbol. That is not the same as an interactive checkbox — COUNTIF will not see TRUE.

Delete / remove checkboxes

  • In-cell checkbox: select the cell and press Delete (or clear contents)
  • Form control: click the checkbox border, then Delete
  • Sheets: Edit → Delete → Values, or clear the cell

Count completed tasks with COUNTIF

Checked boxes store TRUE. Count them with:

Count checked boxes

=COUNTIF(A2:A10,TRUE)

FAQ

How do I insert a checkbox in Excel?

In Microsoft 365 Excel, select the cells and go to Insert → Checkbox. Older Excel versions use Developer → Insert → Form Controls → Checkbox and link each control to a cell.

What is the difference between a checkbox and a checkmark?

A checkbox is interactive and stores TRUE or FALSE so formulas like COUNTIF can count completions. A checkmark (✓) is just a character — it looks checked but is not TRUE unless you treat it with custom logic.

How do I delete a checkbox in Excel?

Select the checkbox (or the cell for in-cell checkboxes) and press Delete. Floating form-control checkboxes need a click on the control border first, then Delete.

How do I count checked boxes with a formula?

Use COUNTIF on the checkbox column, e.g. =COUNTIF(A2:A10,TRUE). See the COUNTIF guide for more patterns.
